Assign order statuses to your orders (Ready to Ship, Shipped, Voided, etc.) to keep track of where your orders are in your Postsale workflow. Order statuses can also be used to trigger automated tasks like sending shipment notifications to your customers.

In this article, we look at managing and manually updating order statuses. We also walk through how to set up automations that update an order’s status when certain tasks are performed in Postsale, such as when a shipment has been processed.

Before We Begin

  • This article assumes that the Status column is visible in the Orders Grid. Learn how to make columns visible in the Arrange, Sort, & Select Orders help article.
  • Keep in mind that updating order statuses may change the filters in which the orders appear. For example, when changing an order's status from Ready to Ship to Shipped the order will no longer appear in the Ready to Ship filter and will appear in the Shipped filter.

Manually Update Order Statuses

Update a Single Order's Status

The quickest method to update the status of a single order is to select the status from the Status column drop-down menu. 

  1. Click the Status drop-down menu for the order you wish to update.
  2. Select the new status from the list of available options.

Update Multiple Orders

Quickly update the status of multiple orders with the Update Status option in the Shortcut Menu. 

  1. Select the orders you wish to update.


     
  2. Right-click (Windows) or Control + click (Mac) on any selected order. Then, choose Update Statuses from the Shortcut Menu.


     

Shortcut Menu on Tablets & Smartphones

The Shortcut Menu can be accessed on a tablet or smartphone by tapping and holding for approximately one second. 

 
  1. Select the status from the Status drop-down menu.


     
  2. Click Update Status to apply the status to the selected orders.

The status is updated for all selected orders.

Frequently Asked Questions

Can I add my own statuses to the list of available statuses?

Yes! Type the status you wish to add into the Status field. Then, select the option to add the new status to the list of available options.



Can I remove statuses that I never use from the list?

Yes! Expand the list of available statuses. Then, click the trashcan icon for the status you wish to remove. Then, verify that you do wish to remove the status.

Use Automation to Update Order Statuses

Here's an Idea!

Why not configure Postsale to automatically update your order statuses when certain events happen? For example, you could have Postsale automatically change an order's status to Exception when a delivery exception occurs. Another idea is to update an order's status to Out for Delivery or to Delivered based on the shipment's current tracking status.
