How to add a manual order to Postsale

Add manual orders when you need to enter an order that wasn’t imported from a file or a connected sales channel. For example:
- You need to ship an order that was placed over the phone
- You want to create specific order records for business-related shipments
This article will walk through how to create a manual order and how to associate the order to the correct store in Postsale.
Step By Step
REAL-WORLD EXAMPLE
We take many phone orders in addition to orders that are imported into Postsale from online sales channels. We need a way to enter the phone orders into Postsale so that we can keep them organized and ship them.
Here's how to enter a manual order:
- Click the New button in the Order Actions Menu.
- Enter the Ship To address information. Then, click Next.
Address Auto-Complete
Postsale predictively displays valid addresses as you type into the Address Line 1 field. Select the correct address from the list to auto-complete the city, state, zip/postal code, and country fields.
The Ship To address can be manually entered in the event that the correct address is not listed.
Select the last entry in the list. Then, enter the address.
- Verify that the Ship To and Bill To addresses are correct. Click the Edit link for either address to update it.
- Specify whether you wish for Postsale to automatically generate an order number or if you would like to manually enter an order number.
By default, Postsale generates a sequential order number for you. Uncheck Automatically Generate an Order Number to enter your own order number.
- Select the store the order should be associated with from the Store drop-down menu.
Manual orders do not have to be assigned to a Manual store type. The order can be assigned to any store in Postsale, allowing you to organize your orders by sales channel, by orders that were called in, business-related shipments, and so on.
In this example, we are associating the called in order with our Phone Orders store. Learn how to add a Manual Store to Postsale to use with your manual orders.
The store you select becomes the Order Source in Postsale so that:
- The order is included in searches and filters showing orders related to the store
- Store-specific branding, such as the store logo, will apply to the order
- Store-specific automation will be taken into account for the order
- The store name will be displayed in the Source column on the Orders Grid

- Complete the Date, Requested Shipping, and Status fields in the Order Details section.

- Expand each of the following sections. Click the Add button to add the pertinent information in each category.
- Items
- Charges
- Payment

- Click the Save Order button.
You'll be prompted that the order was saved successfully.
- Choose one of the following options:
- Click View Order to automatically select the order and view it in the Orders Grid. This is the best option when you wish to immediately configure a shipment and create a shipping label.
- Select Close to return to the main Orders Grid. Select this option if you are not planning on creating a label for the order right away and just wish to view your existing orders.
