What is a SCAN Form?

A USPS SCAN Form, or Shipment Confirmation Acceptance Notice, allows USPS to scan a single barcode to process multiple packages at once. This saves time for postal workers and shippers, especially those who send many orders each day.

Postsale's USPS End of Day reconciles shipment information for your USPS shipments and allows you to print a SCAN Form for your driver. Typically, the SCAN Form is generated after all shipments are completed for the day and are printed before the shipments are given to USPS. However, if you need to continue shipping, End of Day can be performed multiple times throughout the day as needed.

This article will walk you through performing a USPS End of Day and how to view and print previously generated SCAN Forms.

Before We Begin

This article assumes that:

  • You have added at least one USPS account to Postsale
  • You have shipped at least one USPS shipment today

Perform a USPS End of Day

  1. Select End of Day from the Order Actions Menu.

    End of day is selected from the order actions menu.
     
  2. Verify that the End Of Day tab is selected.

    The end of day tab is selected.
     
  3. Select the USPS account for which you would like to run an End Of Day.

    The USPS account is being selected.
     
  4. Select the shipments to include in the End Of Day.
    Postsale lists the USPS shipments for the current day that qualify to be included in the End Of Day SCAN Form.

    The shipments to include in the End of Day are selected.
     
  5. Click Continue.

    The continue button is being clicked.

    The USPS End Of Day is performed and a new browser tab opens displaying the SCAN Form.

  6. Print the SCAN Form and hand it to the USPS driver along with your packages.

View & Print SCAN Forms

You may need to view and print previously created USPS SCAN Forms. Here's how:

  1. Select End of Day from the Order Actions Menu.

    End of day is selected from the order actions menu.
     
  2. Verify that the End Of Day tab is selected.

    The end of day tab is selected.
     
  3. Select the USPS account for which you would like to view previously created SCAN Forms.

    The USPS account is being selected.
     
  4. Expand History.



    A list of the previously created SCAN Forms is displayed. SCAN Forms are named with the date and time created and are sorted from most recent to oldest.

    History is expanded to sho w a list of previously created manifests.
     
  5. Click the print icon next to the SCAN Form you wish to view and print.

    The FedEx manifests are listed and the print icon is highlighted for each one.

Good to Know

  • End of Day can be performed multiple times during each shipping day. Be sure to include all SCAN Forms for the day with your shipments.
  • Shipments meeting one of the following criteria will be available to included in the USPS Scan Form:
    • Priority Mail Express®
    • Priority Mail®
    • USPS Ground Advantage®
    • Returns
    • International
  • Shipments cannot be removed from a SCAN Form
  • Shipments included in a SCAN Form can not be voided
