Returns are a normal part of doing business. Whether an item is damaged in transit, wasn't what your customer expected, or the incorrect item was sent it is important to be able to make the return process as easy for your customers as possible.

Postsale provides you with several options for creating return labels:

  • Create a return label upon request
  • Create a return label when a shipping label is created
  • Automatically create a return label for every shipment

In addition, you have the options to:

  • Use the same carrier and service for the return label
  • Use a different carrier and/or service for the return label
  • Use the same or different packaging for the return label

You will not be charged by the shipping carrier for return labels until they are used and the package is in transit.  

Before We Begin

This article assumes that: 

  • You have at least one carrier account added to Postsale.
  • You have created at least one label for an order.

Create Return Labels

How to create a return label upon request:

REAL WORLD EXAMPLE

A customer's item was damaged in transit. They have reached out asking for a return shipping label so that they can return the item.

Let's look at how we can copy the original shipment, mark the new shipment as a return, and create the return label.

This method is best when you need to create a return label after the original shipping label was created.

  1. Search for and select your customer's original order.     

    The order has been located and is selected in the orders grid.     
     
  2. Open the Dock. Then, select the original shipment.     

    The dock button has been clicked and the shipments has been selected in the dock.  
     
  3. Click the Copy button. Then, make sure that only the copied shipment is selected in the Shipments panel.     

    The copy button is clicked. Then, the copied shipment is selected.
     

Carrier and Service Options

The copied shipment will be configured with the same carrier and service used in the original shipment. However, you can select a different carrier and/or service for the return label if desired. 

 
  1. Expand the Returns section of the Dock. Then, select the This is a return shipment option.     

    The returns section is expanded and this is a return label has been selected.
     
  2. Click the Create 1 Label button.     

    The create label button is being clicked.

The label will be created. 

 
 

How to create an on demand return label:

REAL WORLD EXAMPLE

We include return labels in our packages only for specific products. We would like to be able to manually specify that we need a return label in addition to the shipping label for shipments containing these products. 

Postsale can create an on demand return label at the same time that the shipping label is created. In addition, you have the option to select whether the return label:

  • Should use the same carrier and service as the shipping label
  • Use a different carrier and/or service than the shipping label
  • Use the same or different packaging as the shipping label

This method is best when you wish to create a return label at the same time as the shipping label, only for specific shipments, so that the return label can be included in the package.

  1. Configure the shipment for the order.     
     
  2. Expand the Returns section of the Dock. Then, select the Include a pay on use return label option.    

    Include a pay on use label has been selected from the Returns drop-down menu.
     
  3. Select the Carrier and Service to use for the return label. The available options are:   
     
    • Select Same as shipment to create a return label using the same carrier and service as the shipping label.     
        
       
    • Select a different Carrier and/or Service for the return label.     
          
       
  4. Select the Packaging for the return shipment. Select from the following options:   
     
    • Same as shipment: Use the same packaging, weight, and dimensions as the shipment.  
        
       
    • Parcel: Enter a specific weight and dimensions for the return label.

    • Carrier specific package: The return carrier will be updated to the appropriate carrier for the packaging selected. Be sure to verify that the carrier, service, and weight are correct for the package type.  
        
      Notice that the Carrier and Service was updated based upon the Packaging selected and a Weight can be entered.   
       
  5. Click the Create 1 Label button.     

    The create label button is being clicked.

The shipping label and the return label will be created.

 
 

How to create a return label with every shipping label:

REAL WORLD EXAMPLE

We include a pay-on-use return label in every package. We would like to configure Postsale to always create a return label when a shipping label is created.

Let's set the shipping defaults so that the Include a pay on use return label option is enabled automatically.

Procedure: Settings > Carrier Settings

  1.  Go to Settings.


     
  2. Select Carrier Settings.

    Postsale settings is expanded and carrier settings option is highlighted.
  1. Select Settings.     

    Settings is selected on the Carrier Settings screen.     
     
  2. Click Edit in the Default Shipment section.     
    Learn more about the available Default Shipment settings.     

    The Edit button is being clicked on the shipping settings screen.     
     
  3. Expand the Returns section and select Include a pay on use return label.     

    Include a pay on use retrun label is being selected from the return label type drop-down menu.     
     
  4. Select the Carrier and Service to use for the return label.     

     
    • Select Same as shipment to create a return label using the same carrier and service as the shipping label.     
          
       
    • Select a different Carrier and/or Service for the return label.     
        
       
  5. Select the Packaging for the return shipment. Select from the following options:   

     
    • Same as shipment: Use the same packaging, weight, and dimensions as the shipment. 
        
       
    • Parcel: Enter a specific weight and dimensions for the return label.

    • Carrier specific package: The return carrier will be updated to the appropriate carrier for the packaging selected. Be sure to verify that the carrier, service, and weight are correct for the package type.  
        
         
      Notice that the Carrier and Service was updated based upon the Packaging selected and a Weight can be entered.   
       
  6. Click Save.     

Newly created shipments will now have your specified Include a pay on use return label options selected. 

Shipments created prior to enabling this default will not be updated to include a pay on use return label. Be sure to manually enable this setting as needed.

 
 

Here are Some Ideas

  • In addition to printing the return label, you could save the return label as a PDF so that you can email it to your customer.
