Before We Begin Filter Orders in Ready to Ship Status after Three Days About the Ready to Ship Status Add a Widget to the Dashboard

It happens. An order falls through the cracks and doesn’t ship out on time. Whether it’s due to a missed notification, a manual error, or just a busy week, delayed shipments can impact customer satisfaction. 

In this article we'll create a filter and add a Dashboard widget to surface any orders that haven’t shipped after a set number of days so that you can take appropriate action to ensure your customers' orders arrive on time.

Real-World Example

While reviewing recent orders in Postsale, we spotted one that had been in the Ready to Ship status for more than three days. After a quick investigation, we realized it had been missed entirely and was never shipped.

To prevent this from happening again, we'd like Postsale to alert us whenever an order remains in Ready to Ship status beyond a certain number of days so that we can take appropriate action.

Before We Begin

This article assumes you’re already working with shipped orders and that you have some experience using the Postsale Dashboard and creating filters.

Filter Orders in Ready to Ship Status after Three Days

To help identify orders that may have been missed and not shipped, let's create a filter that identifies orders that are still in the Ready to Ship status after three days (or the number of days that works best for your workflow). Here's how:

Procedure: Select All Orders > Open Advanced Search

  1. Select All Orders in the Orders Menu. 
    Selecting All Orders ensures that no criteria have already been added to your search.


     
  2. Click the Advanced Search button in the Search Bar.

Orders in the Ready to Ship Status

About the Ready to Ship Status

By default, Postsale assigns the Ready to Ship status to newly imported orders. If you've customized your order statuses, make sure to select the one that represents “not yet shipped” in your workflow so that the filter catches the correct orders.

 
  1. Type Order Status into the Field drop-down and select it from the available options.

    Order status is selected as the Field,
     
  2. Leave  Equals as the Operator. Then, enter Ready to Ship Into the Value field.

    Equals is selected as the operator and ready to ship is entered as the value.
     
  3. Click Add to add the search criterion to the filter.

    The new criterion is shown as being added to the advanced search.

Orders Older than Three Days

In addition to being in the Ready to Ship status, we would like to see orders that are more than a certain number of days old. For this example, we will search for orders that have an order date that is three days or more old. However, you can enter the number of days that works best for your workflow.

  1. Type Order Date into the Field drop-down and select it from the available options.

    Order Date is selected as the Field.
     
  2. Select Is Older Than Days from the Operator drop-down menu.

    Is Older Than Days is selected as the operator.
     
  3. Enter the number of days into the Value field.
    We will enter 3, but you can enter any number of days that works best for you.

    3 has been entered as the value.
     
  4. Click Add to add the search criterion to the filter.

Save Your Filter

  1. Click Save As.

    The save as button is being clicked.
     
  2. (Optional) Click the magnifying glass icon and select an icon for this Filter.      
    The icon will be displayed next to the Filter in the Orders Menu.

  3. Enter a name for the filter. Then, click Save.

Your search is saved as a Filter in the Orders Menu. Select the Filter to view orders that are in the Ready to Ship status and have an order date that is three days old or more.

The new filter is selected and three orders are shown in the grid that match the filter's criteria.

 
 

Add a Widget to the Dashboard

Add a widget to the Dashboard so that you can see the total number of orders in your new filter at a glance. This is a quick and easy way to monitor for orders that may not have been shipped after a specified number of days..

  1. Open the Dashboard by clicking Dashboard in the Main Menu.

  2. Click the gear icon to open the Dashboard Settings.


     
  3. Select Add Widget.

  4. Select the # Orders widget from the list of available widgets.

    The new widget is added to the bottom of the Dashboard. You can grab a corner of the widget to resize it or drag and drop the widget to move it.

  5. Click Save Layout to save your changes.

  6. Expand the widget options menu in the newly added widget.


     
  7. Select Settings (the wrench icon) from the menu to open the widget's available settings.


     
  8. Give the widget a Title. This is the title used to identify the widget in the Dashboard.

    The title has been entered.
     
  9. Select the filter you created in the previous section from the Filter drop-down menu so that the number of orders meeting the filters search criteria is displayed in the widget.

    The new filter is being selected from the drop-down menu.
     
  10. Click Save.

    The save button is being clicked.

The widget is updated and displays the new title and the number of orders in your new filter. You can view the widget in the Dashboard at any time.
